Job Description

Job Summary

The administrative assistant in the Office of Communications will provide administrative support to the Associate Vice President for Communications and rest of the Communications staff; manage Seminary Hill Press orders, inventory, and other SHP support functions; provide an accommodating first point of contact for the Office of Communications; and provide support to Project Manager.

Key Responsibilities

  • Greet visitors as the first point of contact for the Office of Communications and determine access they should be given to other employees in the office.

  • Answer Communications main phone extension and direct calls to appropriate parties within the department.

  • Provide administrative support to office staff, including, but not limited to, processing payment requisition forms, processing travel expense reimbursements, processing monthly allocations for US Bank and American Express credit cards, and ordering office supplies

  • Open, sort, and distribute incoming mail and provide similar services for all outgoing correspondence and packages.

  • Manage all administrative tasks for orders and inventory for Seminary Hill Press, including providing helpful customer service, monthly reports on sales, and tracking inventory to help determine when titles may require reprinting

  • Maintain and manage internal budget tracking for the Printing and Promotion budget with monthly reports to the AVP Comms to determine how approved projects are tracking with projected costs.

  • Provide backup assistance in the absence of the Project Manager.

  • Pick up orders from vendors in the DFW area.

  • Regularly update Administrative Assistant position manual as tasks change in light of new needs.

  • It is the employee and supervisor’s shared responsibility to regularly meet to discuss performance, suggest job description updates and set mutually beneficial goals.

  • Perform additional tasks and responsibilities as assigned to support the team and institutional goals.

Specific Skills and Qualifications

  • Knowledge of and experience in administrative support roles and functions.

  • Bachelor’s degree preferred, although not required. A degree in communications, journalism, or English would be ideal.

  • Excellent verbal and written communication skills.

  • Ability to organize work and manage customer orders and requests.

  • Self-starter who anticipates and addresses needs before they are stated.

  • Ability to work well with a team.

  • Must be comfortable working with Microsoft Office software.

  • Must be able to work in Mac or PC environments.

  • Successful completion of background check, education verification, work verification and credit check may be required.

  • Ability to provide proof of Work Authorization in the U.S. and proof of identity.

  • Valid driver’s license, successful clearance of Motor Vehicle Report (Driving Record).

  • Some positions require proof of car insurance.

Physical Requirements

  • Employment is generally in an office setting which requires personnel to be able to interact with others by various means of communication and be able to traverse campus by any mode of personal transportation, as well as make off-campus trips to vendors to pick up completed projects
